The Pottsgrove School District in Pennsylvania will implement a closed-structure artificial intelligence system to handle repetitive administrative tasks within its Pupil Services Department. The school board unanimously approved a $10,000 annual contract with Creatively Focused, aiming to reduce operational burdens on administrators while keeping all district data securely on-site.

How the system works

The AI will operate entirely offline and disconnected from the broader internet. Substitute Superintendent and Pupil Services Director Ann Marie Lucas told the school board the tool will search internal district documents and procedures to provide administrative support. "It's not going to be searching the internet or anything," Lucas said. "It will operate entirely within our system, searching our documents and procedures to provide services."

The contract requires Creatively Focused to build and deploy the closed-source agent, provide staff training, and deliver monthly insights. District administrators must supply source materials for the build and participate in ongoing feedback. This approach allows education leaders to maintain strict control over their data while exploring practical AI for Education applications in a secure, localized environment.

Focus on strategic leadership

The bid contract explicitly notes that school administrators are often bogged down by repetitive operational tasks. The district hopes this automation will free up staff to focus on strategic leadership rather than routine paperwork. Lucas negotiated the contract price down to $10,000, ensuring the cost remains within the existing budget.

"AI is here, and we're kind of behind the times if we're not embracing it," Lucas said. She added that while other districts are already adopting these tools, Pottsgrove wants to ensure it uses a system it actually controls.
