AI agent for authors

Agent Query Submission Tracker Agent

Run an organized query process in which every submission matches guidelines and every follow-up happens on time.

Agent Query Submission Tracker Agent: what goes in, what the agent does and what you get

What it does

An author querying literary agents juggles dozens of submissions with different guidelines, response times and follow-up rules, often in loose notes. This agent keeps a tracker of every query: the agent, agency, date sent, materials sent, stated response time and outcome. It checks submission guidelines against what the author is sending, so a missing sample chapter is caught first. It flags follow-up dates and drafts polite follow-ups when the agency's stated time has passed. It also drafts the next batch of queries, matching the book to agents who represent the genre and accept the format, and avoiding those who have already declined. It never submits or sends anything. The author approves each one. Edge case: an agency that says no response means no is closed after the stated time.

How it works

Follow the arrows from top to bottom. The orange dashed arrow is the loop: when a check fails, the agent goes back and tries again.

How it decides

It ranks new targets by genre fit, current openness to queries and guideline match, and sets follow-up dates from the agency's own stated response time.

  • Follow up once, after the stated response time plus 2 weeks
  • Close a query when the agency says no response means no and the time passes
  • Exclude agents who have declined this book
  • Send batches of no more than 8 queries at a time

Make it yours

Every agent is a starting point. You choose these settings for your own situation.

  • Batch size (default 8)
  • Follow-up delay (default window plus 2 weeks)
  • Genre and comparable titles
  • Materials package
  • Agent sources

What keeps you in control

It always asks you first

  • Every query and follow-up before it is sent

Hard limits

  • Never send a query or follow-up
  • Never invent details about an agent

It stops when

  • Done: representation secured or the query list is exhausted
  • Stop: author pauses the process

An example run

What happensThe tracker held 31 queries. Four agents were past their stated 8-week window, so the agent drafted follow-ups. A new batch of 8 agents was drafted, and 2 required a first chapter the author's package lacked. The agent flagged that, and the author added the chapter. The author approved 7 queries and dropped one.
