AI agent for head of operations
Continuous Improvement Idea Pipeline Agent
Every idea gets a decision and feedback, and good ideas are proven in small pilots.
What it does
The suggestion box fills up, nothing happens, and staff stop contributing. This agent gathers ideas from forms and meeting notes, removes duplicates and scores each one for effort and benefit. It proposes small pilots with an owner, a target and a time limit. After each pilot, it checks the measured result against the target and decides whether to scale, rework or close the idea, then sends feedback to the person who suggested it. The leader approves which pilots start. It keeps a visible board so everyone sees the status of their idea. Edge case: two ideas from different shifts solve the same problem, so the agent merges them and credits both.
How it works
Follow the arrows from top to bottom. The orange dashed arrow is the loop: when a check fails, the agent goes back and tries again.
Read the steps as a list
- New idea submitted
- Check the idea against the existing list for duplicates
- Score effort and expected benefit
- Propose a small pilot with an owner, target and time limit
- Does the pilot have a measurable baseline and target? If not: define a measure with the owner and rewrite the pilot. Back to step 3.
- Leader approves which pilots startThe agent waits here for your OK.
- Track the pilot measure through its time limit
- Did the result reach at least 80 percent of the target? If not: rework the pilot once with a change, or close the idea with reasons. Back to step 7.
- Recommend scale, rework or close
- Send feedback to the person who suggested it
- Idea closed or scaled and the board updated
How it decides
It ranks ideas by benefit over effort and starts only pilots with a measurable target. A pilot scales when it reaches at least 80 percent of its target.
- Merge duplicates and credit all submitters.
- Start only pilots with a measurable target.
- Scale at 80 percent of target or more.
- Allow one rework before closing.
Make it yours
Every agent is a starting point. You choose these settings for your own situation.
- Scoring method
- Pilot length (default 2 weeks)
- Scale threshold (default 80 percent)
- Board visibility
What keeps you in control
It always asks you first
- Leader approves which pilots start
Hard limits
- Always give feedback to the submitter
- Never commit budget without approval
It stops when
- Done: idea scaled or closed with feedback.
- Stop: pilot capacity full, so ideas wait in rank order.
