Delegation Visit Programme Agent

A conflict-free visit programme with confirmed meetings, transport and protocol arrangements

Delegation Visit Programme Agent: what goes in, what the agent does and what you get

What it does

A three-day delegation visit means dozens of meetings, cars, hotels and protocol details, and one change breaks the day. This agent builds a programme from the visit request: who is coming, what they want to achieve and which counterparts they need to meet. It checks times, travel between venues and conflicts, such as a minister who is in two places at once. It drafts requests to local counterparts and tracks confirmations. When a meeting moves or is cancelled, it replans the day and rechecks travel times and conflicts. It also checks that each meeting has the correct protocol, interpreter and transport. The head of mission approves the final programme before it is shared. Edge case: a Friday prayer time clash is caught when the meeting schedule is rechecked.

How it works

Follow the arrows from top to bottom. The orange dashed arrow is the loop: when a check fails, the agent goes back and tries again.

How it decides

A meeting is scheduled only if the counterpart has confirmed, travel time between venues fits and protocol needs are met. Priorities come from the visit objectives.

  • Leave at least 20 minutes of travel between venues in the city
  • Do not schedule meetings during prayer or national holiday times flagged in the calendar
  • Give priority to meetings tied to the visit's top objectives
  • Hold any meeting that lacks a confirmed counterpart

Make it yours

Every agent is a starting point. You choose these settings for your own situation.

  • Minimum travel buffer (default 20 minutes)
  • Holiday and prayer calendar
  • Protocol requirements by guest rank
  • Distribution list for the programme

What keeps you in control

It always asks you first

  • Meeting requests to counterparts
  • Final programme

Hard limits

  • Never commits to a meeting without a confirmed counterpart
  • Never shares the programme outside the approved list

It stops when

  • Done: the final programme is approved and issued
  • Stop: the visit is cancelled

An example run

What happensFor a 3-day trade delegation with 12 meetings, the agent found two meetings overlapping on Tuesday and a 15-minute transfer where 35 minutes were needed. The check failed, so it shifted one meeting to Wednesday. A deputy minister then cancelled a Thursday slot, and the agent replanned the day. All 12 were confirmed on day 5 and the head of mission approved the programme.
