Guest Spot and Day Player Call Sheet Prep Agent

A single, current prep list for the shoot day that reflects the latest call sheet and sides revision

Guest Spot and Day Player Call Sheet Prep Agent: what goes in, what the agent does and what you get

What it does

A day player often gets a call sheet at 8 pm for a 6 am call, then a revised page set at 10 pm. The details sit across emails, attachments and texts. This agent reads the call sheet, sides revisions and wardrobe emails, and builds a one-page prep list with the call time, travel time to the location, scene numbers, page numbers and wardrobe or hair notes. Each time a revision arrives, it compares it with the earlier version and lists what changed. If a scene changed, it flags the memorization impact, such as new lines on pages 12 to 14, and loops back to the new pages to update the prep list. The actor approves the final list and any confirmation reply. Edge case: a call time moved earlier by 30 minutes triggers a recheck of travel time and wake-up time.

How it works

Follow the arrows from top to bottom. The orange dashed arrow is the loop: when a check fails, the agent goes back and tries again.

How it decides

It treats the newest dated document as the source of truth, lists every difference from the previous version, and flags any change to the actor's own scenes as a memorization risk.

  • The latest dated document overrides earlier ones
  • Flag the memorization impact when more than 3 lines change
  • Plan travel with a 20 minute buffer before call time
  • Escalate to the actor when a call time moves by more than 30 minutes

Make it yours

Every agent is a starting point. You choose these settings for your own situation.

  • Home address and usual travel mode
  • Travel buffer before call (default 20 minutes)
  • Lines changed that trigger a memorization flag (default 3)
  • Which email accounts to read
  • Format of the prep list

What keeps you in control

It always asks you first

  • Actor approves the prep list
  • Actor approves any confirmation or question sent to the production

Hard limits

  • Never confirm a booking or change without the actor's approval
  • Never share the call sheet outside the actor's own files

It stops when

  • Done: The prep list matches the latest call sheet and the actor has approved it
  • Stop: Two documents conflict on call time or location, so the agent asks the actor to confirm with the production

An example run

What happensAt 8:15 pm the call sheet says call 6:30 am, scenes 14 and 22. At 10:05 pm sides revision B arrives. The agent finds new lines on page 13 of scene 14, flags 5 changed lines, and updates the list. A second revision moves call to 6:00 am, so wake-up changes from 4:50 to 4:20 am. The actor approves a confirmation reply.
