AI agent for procurement specialists

Input Purchase Comparison Agent

Buy each input at the best delivered cost and in time for planting.

Input Purchase Comparison Agent: what goes in, what the agent does and what you get

What it does

Seed, feed and fertilizer are bought from whoever called last, and a better quote may never be asked for. This agent starts from the field plans and works out what is needed and when. It sends quote requests to a list of suppliers and tracks replies. When quotes arrive it compares the delivered cost per unit including freight, terms and discounts, and checks delivery against the planting date. It drafts an order for the best fit. The farmer approves before anything is ordered. If a quote arrives too late for the planting window, it moves to the next best supplier. Edge case: the cheapest seed quote arrives 4 days after planting starts, so it is dropped.

How it works

Follow the arrows from top to bottom. The orange dashed arrow is the loop: when a check fails, the agent goes back and tries again.

How it decides

It picks the lowest delivered cost among quotes that arrive before the needed date, and adjusts for terms.

  • Compare delivered cost per unit, not the list price
  • Only consider quotes that deliver two days before the need date
  • Ask for at least three quotes
  • Discount for early payment counts only if cash is available

Make it yours

Every agent is a starting point. You choose these settings for your own situation.

  • Number of quotes to ask (default 3)
  • Days before need date for delivery (default 2)
  • Supplier list
  • Payment terms to accept

What keeps you in control

It always asks you first

  • Farmer approves every order

Hard limits

  • Never place an order without the farmer
  • Never accept a quote that misses the date

It stops when

  • Done: an approved order covers the needs
  • Stop: no supplier can deliver in time and the farmer decides

An example run

What happensThe farm needs 40 bags of soybean seed by May 5. Supplier A quotes $62 a bag, delivered May 3. Supplier B quotes $58 but delivers May 9. The agent drops B as too late and drafts an order with A. After a request for a bulk discount, A drops to $60. The farmer approves the order.
