AI agent for podcasters

Podcast Guest Booking Pipeline Agent

Keep enough confirmed guests booked for the next six weeks of episodes

Podcast Guest Booking Pipeline Agent: what goes in, what the agent does and what you get

What it does

Booking guests eats hours each week, and good leads go cold while you juggle recording and editing. This agent keeps a guest pipeline moving. It reads your planned episode themes and open slots, searches for people who have spoken or written on those themes, and checks their recent interviews so you do not pitch someone who just did a similar show. It scores each lead for fit. If a slot has fewer than three strong leads, it widens the search to related topics. It drafts a short personal pitch for each lead, which you approve before anything is sent. It then watches for replies, drafts follow-ups after the wait you set and offers open calendar slots when someone says yes. It leaves guest choice and tone to you. Edge case: a reply from a guest's assistant is linked to the right lead.

How it works

Follow the arrows from top to bottom. The orange dashed arrow is the loop: when a check fails, the agent goes back and tries again.

How it decides

It ranks leads by topic fit, recent public activity and whether they already appeared on similar shows. It follows up only when no reply has arrived within the wait period and stops after the maximum number of nudges.

  • Skip a lead who appeared on a show with a very similar topic in the last 60 days
  • Send a follow-up only after the set wait period with no reply
  • Stop nudging after the maximum number of follow-ups and mark the lead cold

Make it yours

Every agent is a starting point. You choose these settings for your own situation.

  • How many weeks ahead to keep booked (default 6)
  • Wait before a follow-up (default 5 days)
  • Maximum follow-ups per lead (default 2)
  • Pitch tone and length

What keeps you in control

It always asks you first

  • Sending any pitch or follow-up
  • Confirming a recording date

Hard limits

  • Never sends a message without approval
  • Does not contact anyone on the do-not-contact list

It stops when

  • Done: every open slot in the next six weeks has a confirmed guest
  • Stop: no strong leads found after widening the search; ask the podcaster for new themes

An example run

What happensWith four open slots in May, the agent found nine leads on remote work. The check failed for a slot on hiring law, with only one lead, so it widened the search to employment lawyers who blog and found three more. The podcaster approved eight pitches and cut two. After a 7-day wait, it sent approved follow-ups. Two guests booked for May 14 and May 21.
