AI agent for payroll administrators

Pre-Payroll Variance Check Agent

A payroll preview with every large change explained before approval

Pre-Payroll Variance Check Agent: what goes in, what the agent does and what you get

What it does

Payroll errors reach employees fast and erode trust, yet a preview of hundreds of lines is hard to check by eye. Before each payroll is approved, this agent compares the preview to the last cycle. It checks every employee for changes in gross pay, hours, deductions and net pay beyond set limits. For each large change it looks up the reason in HR changes and time records: a raise, new hire, termination, overtime or a benefit change. It flags changes with no reason on record and always flags zero or negative net pay. After the administrator corrects items, it reruns the comparison. It also checks totals for tax and benefit remittances. The administrator approves the final payroll. Edge case: an employee's net pay drops to zero because a garnishment was entered twice, which the agent catches.

How it works

Follow the arrows from top to bottom. The orange dashed arrow is the loop: when a check fails, the agent goes back and tries again.

How it decides

It compares each employee to the last cycle and requires a matching HR or time record for changes above the limit.

  • New hire without signed start record: hold
  • Net pay zero or negative: always flag

An example run

What happensFor the October 15 payroll, 23 of 412 employees had net pay changes over 10%. The agent matched 20 to raises and overtime. Three had no reason on record, including one whose net pay was zero from a garnishment entered twice. The administrator fixed all three, the agent reran the comparison and every change was explained, and the administrator approved the payroll.
