AI agent for insurance agency managers
Producer Book Transfer and Succession Agent
Move the whole book to new owners with the highest retention of premium
What it does
When a producer retires, years of relationships sit in one head and a client list. If the handoff is rushed, the best clients leave with the old producer or to a competitor. This agent builds the transition plan. It lists every client with premium, years with the agency, lines held and recent contact. It proposes a new owner for each based on skills, capacity and relationship strength, and schedules introductions in the order of value. After each introduction it tracks whether the client engaged and renews. If a client stops responding after the handoff, it flags the account and proposes a joint call with the old and new producer. The manager approves all assignments and messages. Edge case: a client has two decision makers. The agent invites both.
How it works
Follow the arrows from top to bottom. The orange dashed arrow is the loop: when a check fails, the agent goes back and tries again.
Read the steps as a list
- Retirement date confirmed
- Pull the book with premium, lines, tenure and contact history
- Rank clients by value and by risk of leaving
- Propose a new owner for each client by skills and capacity
- Manager approves the assignmentsThe agent waits here for your OK.
- Schedule introductions and draft messages from the old producer
- Did the client attend the introduction and respond? If not: Flag the account and propose a joint call with both producers. Back to step 6.
- Track renewals and service requests after handoff
- Is retention on track for the book?If not: Re-rank at-risk accounts and adjust owners or outreach. Back to step 2.
- Retention report and clean ownership records
How it decides
It ranks clients by premium and risk of leaving, and matches them to owners by line expertise and spare capacity. Risk rises when contact is thin or the client is tied to the old producer.
- Clients above the top 20 percent of premium get a joint meeting
- No owner may exceed 110 percent of their capacity after the transfer
- A client silent for 14 days after handoff is flagged as a risk
- Renewals within 60 days are handled first
Make it yours
Every agent is a starting point. You choose these settings for your own situation.
- Share of top clients for joint meetings (default 20 percent)
- Days of silence before flagging (default 14)

What keeps you in control
It always asks you first
- Manager approves every client assignment
- Manager approves messages sent in the producer's name
Hard limits
- Never contacts clients without approval
- Does not move a client against a stated wish
It stops when
- Done: all clients transferred and renewal retention reported
- Stop: the retiring producer withdraws or a client asks to leave, hand to the manager
