Producer Onboarding and Appointment Agent

Producer Onboarding and Appointment Agent: what goes in, what the agent does and what you get

What it does

A new producer cannot sell until they hold a license in the right states, are appointed with each carrier, have finished training, and have system access. Each step depends on another, and waiting is expensive. This agent builds a checklist for each new producer and tracks every item. It requests missing items from the producer, sends appointment requests to the carriers after the manager's approval, and watches for replies. It checks status daily and moves the next items forward as soon as a prior step is done. If a carrier is slow, it follows up and reports the delay. The manager approves system access and carrier appointment requests. Edge case: a producer whose license is not active in a state is kept out of that state's quotes.

How it works

Follow the arrows from top to bottom. The orange dashed arrow is the loop: when a check fails, the agent goes back and tries again.

How it decides

Orders tasks by dependency and starts each one the moment its prerequisites are met; flags any step stalled for more than the set number of days.

  • A producer sells only where license and appointment are both active
  • Stalled step over 5 working days is chased
  • Training must be complete before system access to quotes
  • Missing documents are requested once, then escalated

An example run

What happensA new producer needs licenses in two states and appointments with six carriers. The agent finds the second state license pending. It sends five carrier requests right away and holds the sixth. A carrier misses its 5 day reply, so the agent follows up. Three days later the state license clears, and the manager approves the last request and system access.
