Proof of Service Tracking Agent

Every service completed and proven on time

Proof of Service Tracking Agent: what goes in, what the agent does and what you get

What it does

Missing a service deadline or filing a proof with the wrong details can delay a case or get it dismissed. After papers go out for service, this agent tracks each one: the method, the server or carrier, and the deadlines for service and for filing proof. It checks status with the process server or tracking. If service is not complete within 10 days of the deadline, it alerts the secretary. When service is complete, it drafts the proof of service from the details. It then checks the proof matches the papers served, the party, the address and the date. If something does not match, such as the wrong entity, it flags it and lists options like re-service. After failed attempts it lists options such as another address or alternate service. The secretary and attorney approve filing and any alternate service request. Edge case: the server served the wrong entity name, so the agent flags a redo.

How it works

Follow the arrows from top to bottom. The orange dashed arrow is the loop: when a check fails, the agent goes back and tries again.

An example run

What happensA summons for Harbor Supply LLC went out for service on October 2 with a 30-day deadline. The server reported service on October 9 and the agent drafted the proof. The check failed: the server's notes named Harbor Supply Inc., a different entity. The agent flagged it and listed options, including re-serving the registered agent. The firm re-served on October 14, the new proof matched, and the attorney approved filing.
