Workload Handoff Preparation Agent

A clean handoff for every absence.

Workload Handoff Preparation Agent: what goes in, what the agent does and what you get

What it does

When someone goes on leave, the status of their work and its context are often unclear to the backup. When an absence is approved, this agent identifies unfinished work and deadlines in scope, from task boards, calendars and shared folders. It assembles a handoff pack that links each item to its source and proposes backup tasks. It checks that the backup can access everything in the pack. Material the backup cannot access is removed, and the owner decides whether to grant access or handle it differently. The manager approves reassignment. Absence details are not shared. Edge case: a contract file sits in a restricted folder, so it is removed from the pack and the owner is asked.

How it works

Follow the arrows from top to bottom. The orange dashed arrow is the loop: when a check fails, the agent goes back and tries again.

An example run

What happensJordan's two-week leave from September 22 was approved. The agent found nine open items and four deadlines. The access check failed for two documents in a finance folder the backup could not open. It removed them and asked Jordan, who moved one to a shared folder and kept the other. The manager approved reassignment on September 19.
