AI agent for engineering managers

Resource Request Comparison Agent

Resource requests compared on equal terms.

Resource Request Comparison Agent: what goes in, what the agent does and what you get

What it does

Resource requests arrive in different units and periods. One team asks in hours per month, another in full-time equivalents per quarter, so a simple ranking misleads. This agent reads every request and checks whether the units, periods and capacity definitions are stated. When they are missing, it sends a targeted question to the requesting team instead of guessing. Once definitions are clear, it converts each request to a common unit and period, compares them against budget limits and flags requests that overlap. It prepares a side-by-side review with the assumptions shown. The planning team decides allocations and hiring. Edge case: two teams define a working day differently, 7.5 hours versus 8 hours, so the agent asks each team for hours per role before converting.

How it works

Follow the arrows from top to bottom. The orange dashed arrow is the loop: when a check fails, the agent goes back and tries again.

How it decides

It normalizes only with supported definitions.

  • No ranking until every request has a stated unit, period and capacity definition.
  • Convert only with definitions the team confirmed, never with assumed defaults.
  • Flag requests that ask for the same people or budget line as overlapping.

Make it yours

Every agent is a starting point. You choose these settings for your own situation.

  • Common unit and period for comparison (default hours per quarter)
  • Standard hours per FTE used when a team confirms it (default 37.5 per week)
  • Who receives clarification questions and how long to wait for answers
  • Budget limits and headcount caps to compare against

What keeps you in control

It always asks you first

  • Budget allocation
  • Hiring

Hard limits

  • No allocation.

It stops when

  • Done: comparable review.

An example run

What happensFor the Q3 planning cycle, six teams submit requests. Support asks for 1.5 FTE per quarter, Finance asks for 320 hours per month. The comparability check fails for Field Ops, which gives no hours per FTE. The agent asks and gets 37.5 hours a week, then converts all six to hours per quarter. Total demand is 5,100 hours against 4,200 available. The planning lead approves cuts to two requests.
