AI agent for team leads
Stalled Deal Coaching Agent
Give each manager a short weekly list of stalled deals with the likely reason and a coaching question
What it does
Sales managers need to know which deals are stuck before the one-on-one, not after. Every Monday this agent compares each open deal's days in stage with the team median for that stage, and marks a deal stalled at 1.5 times the median. Deals paused at the buyer's request stay off the list until the agreed restart date. For each stalled deal it reads recent emails, call notes and meetings in the CRM and finds the first missing element of the sales process, such as no economic buyer contact or pricing not sent. It drafts one coaching question per deal, grouped by rep and ranked by value times probability. The manager reviews before the one-on-ones. Three days later it checks whether the rep logged a dated next step; if not, the deal moves up next week's list. Edge case: buyer-paused deals are skipped until restart.
How it works
Follow the arrows from top to bottom. The orange dashed arrow is the loop: when a check fails, the agent goes back and tries again.
Read the steps as a list
- Monday one-on-one prep
- Pull open deals with stage entry dates and activity history
- Compare days in stage with team medians
- Find the first missing element for each stalled deal
- Draft one coaching question per stalled deal, grouped by rep
- Manager reviews the list before one-on-onesThe agent waits here for your OK.
- Did the rep log a dated next step within 3 days?If not: carry the deal to next week's list with a raised priority. Back to step 3.
- Stalled deal list closed for the week
How it decides
A deal is stalled when its days in stage exceed 1.5 times the team median for that stage. The likely cause is the first missing element in the team's sales process checklist for that stage.
- Stalled means more than 1.5 times the median days in stage
- Skip deals marked paused by the buyer until the restart date
- Suggest closing out deals with no buyer contact in 45 days
- Rank by deal value times stage probability
Make it yours
Every agent is a starting point. You choose these settings for your own situation.
- Stall multiplier against the median (default 1.5)
- Days without buyer contact before suggesting close-out (default 45)
- Which stages to watch
- Format of the coaching list (email, doc or CRM task)
What keeps you in control
It always asks you first
- Closing a deal as lost
- Reassigning a deal to another rep
Hard limits
- Does not message reps directly
- Does not change deal stages
It stops when
- Done: every stalled deal has a next step or is carried over
- Stop: stage benchmarks are missing for the team
