AI agent for property managers

Vacancy Turnover Coordination Agent

Get each unit rent-ready by the target date with the vendors booked in the right order.

Vacancy Turnover Coordination Agent: what goes in, what the agent does and what you get

What it does

Turnovers drag when the painter arrives before the repairs are done and the cleaner comes twice. After a move-out, this agent builds a task list for cleaning, repairs, painting and flooring, with the right order and the time each takes. It books vendors in sequence within their availability and checks completion by date. If a task is late, it rebooks the following steps and recalculates the ready date. You approve the spend and the ready date. Edge case: the plumber needs two extra days for a part, and the agent shifts the painter and the carpet fitter without double-booking.

How it works

Follow the arrows from top to bottom. The orange dashed arrow is the loop: when a check fails, the agent goes back and tries again.

How it decides

It orders tasks by dependency, books the earliest suitable slot for each vendor and recalculates the ready date after any delay.

  • Repairs before paint, paint before flooring and final clean last
  • Book the earliest slot that respects the order
  • Spend over the limit needs approval (default $500)
  • Report any delay within 1 day

An example run

What happensA 2-bedroom move-out needed a plumber, painter, carpet fitter and cleaner, with a target of 10 days. The agent planned for day 9. On day 3, the plumber needed a part, so the check failed. The agent rebooked paint and carpet and recalculated the ready date to day 12. The manager approved a faster painter to reach day 10.
