Vehicle Registration and Inspection Renewal Agent

What it does
A fleet runs on dates: registration, inspection and permits all expire on different days, and a missed one stops a vehicle. This agent tracks the renewal dates for every vehicle and looks ahead 60 days. It books inspections around the availability board so no route loses too many vehicles at once. It checks that each renewal document is received and filed, and chases anything missing from the driver, the shop or the office. After each booking it rechecks that the slot still fits the schedule. The manager approves bookings and payments. Edge case: two trucks are due the same week and both are needed for a big delivery, so the agent offers staggered dates and flags the conflict.

How it decides
A renewal is on track when it is booked and its document is filed before the due date minus a safety margin. Bookings avoid dates when more than a set number of vehicles are away.
- Book inspections at least 14 days before expiry
- Limit to 2 vehicles of the same route away at once
- Escalate any item within 7 days of expiry with no booking
- Mark a renewal closed only when the document is filed
