AI agent for logistics engineers

Carrier Rate Bid Evaluation Agent

Recommend a carrier award based on total cost and proven service.

Carrier Rate Bid Evaluation Agent: what goes in, what the agent does and what you get

What it does

Annual carrier bids arrive as spreadsheets in different formats, and the lowest rate often costs more once fuel, accessorials and delays are counted. This agent collects the bids, puts them on one basis by lane, and adds accessorial rates, fuel and minimums. It checks each carrier's on-time and damage history. It models total annual cost on the real shipment volumes from last year, and asks carriers to clarify anything unclear or inconsistent. When replies come in, it reruns the model. It then drafts an award recommendation. The engineer approves it. Edge case: a bid that is 12 percent lower on line haul but charges high detention fees ranks lower on the real volumes.

How it works

Follow the arrows from top to bottom. The orange dashed arrow is the loop: when a check fails, the agent goes back and tries again.

How it decides

It ranks bids by modeled annual cost on real volumes, then by service, and holds any bid with unresolved questions.

  • Rank by modeled annual cost, not by quoted line haul rate
  • Require 90 percent on-time to be eligible
  • Penalize carriers with a damage rate above the set limit
  • Check lanes with only one bidder for risk

Make it yours

Every agent is a starting point. You choose these settings for your own situation.

  • On-time minimum (default 90 percent)
  • Lanes and volumes included
  • Cost items counted
  • Number of clarification rounds

What keeps you in control

It always asks you first

  • Engineer approves the award recommendation

Hard limits

  • Never award or notify a carrier
  • Never use data older than the last full year

It stops when

  • Done: a recommendation by lane with cost and service data
  • Stop: bids stay unclear after two requests and the engineer decides

An example run

What happensCarrier A bids $2.10 a mile and carrier B $2.35 on the Chicago to Dallas lane. A's detention fee is $90 an hour against $45, and last year's loads averaged 2.5 hours of detention. On real volumes, A costs $4,100 more a year. The agent ranks B first and the engineer approves.
