AI agent for executive assistants

Executive Meeting Briefing Pack Agent

A one-page briefing for every key meeting, ready the evening before

Executive Meeting Briefing Pack Agent: what goes in, what the agent does and what you get

What it does

Before important meetings, executives need to know who is attending, what was discussed before, which actions are open and which documents matter, and assistants often assemble this late at night. Each afternoon this agent reads the next day's calendar and picks meetings with external attendees or marked important. For each, it gathers attendee background from the CRM and contacts, past notes, emails and open actions, and attaches the latest documents. It drafts a one-page brief per meeting. It then checks each brief for gaps, such as an attendee with no background or a referenced document not attached, searches again and marks anything still missing. The assistant reviews the briefs before they go to the executive. The next morning it checks for agenda changes and refreshes affected briefs. Edge case: a meeting whose agenda changed in the last hour gets a fresh brief.

How it works

Follow the arrows from top to bottom. The orange dashed arrow is the loop: when a check fails, the agent goes back and tries again.

An example run

What happensFor Wednesday's six meetings, the agent drafted five complete briefs. The gap check failed for the sixth: one investor attendee had no CRM record and the deck named in the invite was not attached. The second search found the deck in a shared folder and a past email thread about the investor. The assistant reviewed all six at 5 pm and sent them to the executive.
