How it decides

It sorts the reply into problem, happy or silent. Problems go to the claim path first, happy replies go to the review and referral path, silence gets one nudge and then a calendar reminder.

  • Reply mentions words like late, lost, dirty or refund: treat as a problem before anything else
  • Client spent over the usual trip value and was happy: add a referral request to the review message
  • Two follow-ups with no reply: stop and set a reminder for the next anniversary
  • A complaint with no receipt on file: ask the client for proof before contacting the supplier
