After each recommendation, such as a rollover, a new product or a strategy change, this agent drafts the required record. It pulls the client profile, the options considered, costs and the reasons from meeting notes. It checks the record against the firm's checklist: client goals, alternatives, costs compared, conflicts disclosed and client acknowledgment. If an item is missing, it asks the advisor for it and checks again. An undisclosed conflict blocks filing. It also confirms that disclosure documents were delivered. The advisor signs the record before it goes to compliance. Edge case: a rollover record lacks a fee comparison with the old plan, so the agent asks for the plan fee data.
