AI agent for tax analysts
Sales Tax Nexus Review Agent
Registration happens in time for each state where the company has nexus.
What it does
Online sellers pass state sales thresholds without noticing, and then owe tax and penalties for months of unregistered sales. This agent reads sales by state each month and compares them to each state's threshold, whether by sales amount, transaction count or both. It flags states near or over, checks for physical presence, and drafts a registration plan. It reruns monthly. The analyst approves registrations. It decides by rolling twelve-month totals against each state's rule. After each run it checks that the sales totals tie to the ledger, and if they do not, it finds the missing channel before flagging anything. It leaves registration, and the decision on how to register, to the analyst. Edge case: a state counts marketplace sales toward the threshold, so the agent includes them when the rule says so.
How it works
Follow the arrows from top to bottom. The orange dashed arrow is the loop: when a check fails, the agent goes back and tries again.
Read the steps as a list
- Month closes
- Pull sales by state and channel
- Compute rolling totals and transaction counts
- Compare to each state's threshold
- Check physical presence in each state
- Is any state near or over its threshold or has presence? If not: continue to the next state or month. Back to step 4.
- Draft a registration plan with dates
- Analyst approves each registrationThe agent waits here for your OK.
- Nexus report
How it decides
It flags a state at 80% of the threshold, and over it as urgent. It checks physical presence separately, because it creates nexus at any sales level.
- Flag a state at 80% of the threshold
- Treat presence as nexus regardless of sales
- Include marketplace sales when the state counts them
- Use the state's measurement period
