Sample Clearance Tracker Agent

A project where every sample is cleared or replaced before release

Sample Clearance Tracker Agent: what goes in, what the agent does and what you get

What it does

Samples get released before clearance and the track is later pulled. This agent lists every sample in the project, including loops and interpolations, and identifies the rights holders for the recording and the song. It drafts clearance requests with the intended use, then tracks replies. It marks each sample as cleared, pending or refused, and checks the release plan against open items. When a reply comes in, it checks the release date again and proposes a delay, a replay or a replacement if a sample is refused. The producer approves sending requests and any payment. Edge case: a royalty-free sample with a license that excludes commercial release is treated as uncleared.

How it works

Follow the arrows from top to bottom. The orange dashed arrow is the loop: when a check fails, the agent goes back and tries again.

How it decides

A track is releasable when every sample is cleared in writing or removed. Refused or silent requests block the release date.

  • Treat a sample with no written reply as uncleared
  • Treat a license with no commercial use as uncleared
  • Block the release for a refused sample
  • Check both recording and composition rights

Make it yours

Every agent is a starting point. You choose these settings for your own situation.

  • Follow-up time (default 7 days)
  • Fee limit before asking the producer
  • Release date buffer
  • Where replies are saved

What keeps you in control

It always asks you first

  • Sending requests
  • Agreeing any payment

Hard limits

  • Never agrees fees or sends requests without approval
  • Never states a sample is cleared without a written reply

It stops when

  • Done: all samples cleared or replaced and the producer approved
  • Stop: a rights holder cannot be found

An example run

What happensA track had 3 samples with release set for the 20th. Two holders replied with fees of $500 and $800. The third did not answer in 10 days, so the release check failed. The agent proposed replaying the third sample or moving the release to the 27th. The producer approved the two fees and the replay, and the release date held.
