What it does
Every diplomat and local staff member holds an accreditation card or visa with an expiry date. If it lapses, they may be unable to travel, work or keep their privileges. Renewal takes weeks at the host ministry. This agent tracks each person's card and visa dates and starts the process 120 days before expiry. It prepares the renewal packet: forms, photos, passport copies, employment letter and fees. It checks the packet against the ministry's current requirements for missing documents or dates that do not match. If something is wrong, it asks the person or HR and rechecks. After submission, it follows the ministry's processing status and rechecks every week until the new card is issued. The administrative officer approves each submission. Edge case: a passport expires within six months, so the agent requests renewal first.
