AI agent for public relations specialists
Story Pitch Follow-up Agent
Follow up every pitch once, at the right time, with something new, and log the result
What it does
After sending a pitch to 30 reporters, it is hard to track who opened, replied, declined or wrote. This agent tracks every pitch in a campaign. It reads replies, flags declines and interest, and checks for published coverage. For reporters with no reply, it drafts one tailored follow-up after the agreed wait, using a new angle, data point or asset rather than just bumping. It never sends a second follow-up. Before queuing a follow-up, it checks the reporter has not already covered the story or declined, and has not been pitched by a colleague in the last 14 days. If any check fails, it cancels that follow-up and updates the tracker. The specialist approves and sends every follow-up. Edge case: a reporter replied from a personal address, so it matches by name and outlet instead of email.
How it works
Follow the arrows from top to bottom. The orange dashed arrow is the loop: when a check fails, the agent goes back and tries again.
Read the steps as a list
- Campaign day begins
- Read replies and match them to the pitch list
- Check coverage monitoring for published stories
- Update status: interested, declined, covered, no reply
- For each no-reply contact, is the wait over and no colleague pitched them in 14 days?If not: hold the follow-up and set the next check date. Back to step 4.
- Pick an unused angle, data point or asset
- Draft a short follow-up
- Is the draft under 120 words and does it add something new?If not: choose a different angle and redraft. Back to step 6.
- Specialist approves and sends follow-upsThe agent waits here for your OK.
- Updated pitch tracker and coverage log
How it decides
It drafts a follow-up only for reporters with no reply after the wait period, no coverage and no recent pitch from a colleague, and picks the angle not used in the first pitch.
- Wait 3 business days before a follow-up for news, 5 for features
- Send at most one follow-up per reporter per pitch
- Skip anyone pitched by a colleague in the last 14 days
- Cancel follow-ups once coverage is found
