Tour Gratuity and Payment Reconciliation Agent

Every tour's money is matched and explained, and guides are paid the right amount.

Tour Gratuity and Payment Reconciliation Agent: what goes in, what the agent does and what you get

What it does

Cash, card and tip payments from several tours are reconciled late, and gaps are found weeks afterward. After each tour, the agent matches bookings, payments, tips and fees, flags gaps, and checks the totals against the bank feed. It asks the guide to explain any difference and recalculates after the reply. It then builds the payout for the guide, with the tip split. It keeps a tour open until every gap is explained, and shows the owner a list of tours still open and the dollar amounts at stake. It never pays anyone itself. The owner approves payouts. Edge case: a cash tip entered in a different currency than the booking.

How it works

Follow the arrows from top to bottom. The orange dashed arrow is the loop: when a check fails, the agent goes back and tries again.

  • Hold a payout when a gap is over $50
  • Match each tour within 7 days

An example run

What happensA tour of 12 guests shows $960 booked and $912 in the bank feed. The check fails because of a $48 gap. The agent asks the guide, who explains a cash payment of $50 given as a tip, shown in the wrong currency. After recalculating, the gap is $2 and the tip is split. The owner approves the payout.
