AI at work is already here - your policy is overdue
AI is in your workflows whether you've approved it or not. People are using it to draft emails, screen resumés, analyze data, and write code. Without guardrails, employees make up their own rules. That creates uneven risk, confusion, and distrust.
An AI policy is not a brake on progress. It's clarity. It protects people, sets expectations, and keeps decisions accountable - especially in HR, where the human impact is real.
Principles: keep people first
- Human in the loop: For decisions that affect people - hiring, performance, termination, pay - a human reviews, owns, and explains the final call.
- Assistive, not autonomous: AI supports judgment; it doesn't replace it. No blaming "the system" for poor choices.
- Fairness by design: Test for bias. Document methods. Adjust when harm shows up.
- Transparency: Tell employees when AI is used in ways that affect them.
- Privacy and security: Minimize data. Protect it. No sensitive info in public tools.
- Auditability: Keep logs of prompts, outputs, versions, and approvals for high-impact use cases.
Boundaries: where AI fits - and where it doesn't
- Approved with oversight: drafting job posts, summarizing meetings, creating first drafts of documentation, data clean-up, QA checklists, learning support, and candidate outreach templates.
- Restricted or prohibited: final hiring decisions, medical or accommodation details, compensation data, investigations, disciplinary decisions, and any sensitive employee information inside public AI tools.
- Review triggers: anything that scores people, ranks candidates, flags "risk," or labels behavior needs bias testing, human review, and clear appeal paths.
Accountability stays with leaders
AI can draft, summarize, and suggest. It can't read the room, hold eye contact, or repair trust. Leaders still own hiring outcomes, ratings, and pay decisions. If a tool recommends something harmful, that's on us to catch.
Privacy and confidentiality aren't optional
Many tools store what you paste into them. Treat prompts like emails to an external vendor. Employee data, medical info, compensation, and investigation notes do not belong in public models. Set clear "do not input" lists and approved tools.

Be open about AI use
Don't surprise people. If AI screens resumés, analyzes engagement comments, or flags attendance patterns, say so. Explain the goal, the guardrails, and the appeal process. Openness reduces rumor and resistance.
Training makes the policy real
Tools are only as good as the hands using them. Teach prompt basics, verification habits, bias awareness, data handling, and when to stop and ask for help. Make examples specific to roles so people can apply them tomorrow.

Performance standards need an update
Be explicit: is AI use encouraged, optional, or limited for each role? Define quality bars, review steps, and what "good" looks like when AI drafts the first pass. Protect learning time so skills don't atrophy behind autocomplete.
Equity and accessibility
Used well, AI can support neurodivergent employees, translation, and access to information. Used poorly, it can exclude and stereotype. Bake in bias checks, accessible formats, and alternative paths when tools create barriers.

Culture follows what you reward and what you ignore. Don't let AI become a way to avoid tough conversations or depersonalize feedback. Set the expectation: tech can speed the work, but respect and professionalism are non-negotiable.

- Week 1: Inventory current use, map high-risk workflows, pick a small set of approved tools.
