Freelancer Brief and Rate Match Agent

A ranked shortlist of freelancers that fit the brief, with reasons and open questions

Freelancer Brief and Rate Match Agent: what goes in, what the agent does and what you get

What it does

A brief arrives on Monday that needs a motion designer with 3D skills by the 20th, and the director starts opening portfolios from a dozen places. This agent takes the brief and the saved freelancer list, collects each candidate's portfolio links, rates and availability, and scores fit by style, skills, availability and rate. Candidates who fail a hard requirement, such as a missing tool or dates they cannot cover, are removed with the reason shown. For gaps in the data, it drafts a short question to the candidate and rescoring happens when answers arrive. It then produces a ranked shortlist with the evidence for each score. The director approves who is contacted. Edge case: a candidate with the best reel but a rate 40 percent over budget is kept as a reach option and labeled as such.

How it works

Follow the arrows from top to bottom. The orange dashed arrow is the loop: when a check fails, the agent goes back and tries again.

How it decides

It removes candidates who fail hard requirements, scores the rest on style fit, skills, availability and rate, and keeps unscored fields visible rather than guessing.

  • Remove any candidate who cannot cover the dates
  • Weight style fit 40 percent, skills 30 percent, rate 20 percent, availability 10 percent
  • Label candidates above budget by more than 20 percent as reach options
  • Ask for missing data once before scoring a field as zero

Make it yours

Every agent is a starting point. You choose these settings for your own situation.

  • Scoring weights
  • Budget tolerance for reach options (default 20 percent)
  • Where the freelancer list is stored
  • Hard requirements for each project type
  • Shortlist size

What keeps you in control

It always asks you first

  • Director approves the shortlist and every outreach message

Hard limits

  • Never contact a freelancer or share the brief without approval
  • Never invent rates or availability

It stops when

  • Done: A ranked shortlist of 3 to 5 candidates is approved
  • Stop: No candidate meets the hard requirements, so the agent reports that the brief or dates need to change

An example run

What happensA brief needs 6 weeks of 3D motion work from June 3 at up to 7,500 dollars. Of 11 candidates, 4 are unavailable. Of 7 left, one has no rate on file; the agent asks and the answer is 9,800 dollars, so she is labeled reach. The ranked list has four names. The director approves outreach to three.
