AI agent for head of operations

SOP Execution Evidence Agent

Every procedure run has valid evidence for every required step.

SOP Execution Evidence Agent: what goes in, what the agent does and what you get

What it does

Procedure checklists often get ticked without proof that the steps really happened. When a run starts, this agent builds a run checklist from the standard procedure. It inspects steps in the order their dependencies require. For each step it validates the evidence, such as a photo, reading or log entry, by checking timestamp, location and source. Evidence reused from an earlier run or too thin to prove the step is rejected, and the agent asks for new evidence. If a prerequisite fails, it routes the issue to the supervisor. The supervisor signs off the run and handles safety decisions. Edge case: a required fridge temperature photo is from last week's run.

How it works

Follow the arrows from top to bottom. The orange dashed arrow is the loop: when a check fails, the agent goes back and tries again.

Read the steps as a list
  1. Procedure run starts
  2. Create the run checklist
  3. Validate evidence for the next step
  4. Is the evidence fresh and from this run?If not: create a follow-up for new evidence. Back to step 3.
  5. Route failed prerequisites
  6. Supervisor signs offThe agent waits here for your OK.

How it decides

It inspects the next step by dependency and rejects evidence from earlier runs.

  • Accept only fresh evidence from the current run.
  • Step order follows dependencies in the procedure.
  • Failed prerequisites go to the supervisor, never closed by the agent.

Make it yours

Every agent is a starting point. You choose these settings for your own situation.

  • Evidence types required per step
  • Maximum age of evidence (default this run only)
  • Who receives failed prerequisites
  • Sign-off rules per procedure

What keeps you in control

It always asks you first

  • Safety sign-off
  • Physical actions
  • Procedure changes

Hard limits

  • No safety sign-off.

It stops when

  • Done: all steps evidenced.

An example run

What happensThe Tuesday 6 a.m. kitchen opening run starts with 12 steps. At step 5 the fridge temperature photo has a timestamp from last Tuesday. The freshness check fails, so the agent asks the shift lead for a new photo. The new one shows 3.8 C at 6:14 a.m. and passes. Step 9 fails on a missing cleaning log and goes to the supervisor, who signs off.
