AI agent for call center supervisors
Shift Swap and Time-Off Request Agent
Handle every request with a schedule that still meets coverage and labor rules.
What it does
Requests for swaps and time off arrive by chat, email and in the hallway, and by Friday the schedule has gaps nobody noticed. This agent reads each request from the shared inbox or form. For each one, it checks coverage for the shift, the skills needed, hours already worked and overtime limits, and local labor rules such as rest between shifts. It proposes who can swap, ranked by fit. After the manager approves a change, it updates the draft schedule and recalculates coverage for the whole week, because one swap can break another shift. If coverage no longer holds, it reverses the draft change and offers another match. The manager approves every change. Edge case: a swap would put someone at 41 hours, so the agent marks it as overtime.
How it works
Follow the arrows from top to bottom. The orange dashed arrow is the loop: when a check fails, the agent goes back and tries again.
Read the steps as a list
- Swap or time-off request arrives
- Read the request and the current schedule
- Check coverage, skills, hours and rest rules
- Does the schedule stay legal and covered if approved? If not: search for a different swap partner or time and check again. Back to step 3.
- Propose the best match with the reasons
- Manager approves or declines the changeThe agent waits here for your OK.
- Apply the change to the draft schedule
- Recalculate coverage for the full week
- Is every shift still covered and under hour limits? If not: undo the draft change and propose another option. Back to step 3.
- Draft the reply to the requester
- Updated schedule and replies
How it decides
A request is feasible if coverage, skills, overtime and rest rules hold after the change. Among feasible swaps it picks the one with the least overtime.
- Require at least 11 hours of rest between shifts
- Flag any swap that pushes someone over 40 hours in the week
- Match skills first, then seniority, then who asked first
- Treat time off during blackout days as a manager decision only
Make it yours
Every agent is a starting point. You choose these settings for your own situation.

What keeps you in control
It always asks you first
- Manager approves every schedule change
- Manager approves replies to requesters
Hard limits
- Never change the live schedule without approval
- Never ignore a labor rule to make a swap fit
It stops when
- Done: schedule is covered and requests are answered
- Stop: no feasible option exists, so the manager decides
