Treatment Plan Review Due Agent

Every active treatment plan is reviewed and signed before it expires

Treatment Plan Review Due Agent: what goes in, what the agent does and what you get

What it does

Payers and licensing bodies require treatment plans to be reviewed on a set schedule with client input, and missed reviews risk payment. Each day this agent lists plans due within 14 days. It first checks whether the client has had a session in the review window. If not, it flags possible disengagement for outreach instead of drafting a review. For active clients, it gathers progress note highlights, scores and goal status, and drafts a review summary listing goals that look met, stalled or no longer relevant, with stalled goals first. The clinician reviews the plan with the client and signs it, writing the final plan. The agent then checks that the signed review is in the record by the due date. If not, it reminds the clinician and flags the chart. Edge case: a client with no sessions in the window gets outreach, not a review.

How it works

Follow the arrows from top to bottom. The orange dashed arrow is the loop: when a check fails, the agent goes back and tries again.

An example run

What happensOn June 2, fourteen plans were due within two weeks. The engagement check failed for one client with no sessions in 60 days, so the agent flagged outreach. For the other 13 it drafted summaries. By the due date, the signature check failed for two clinicians. The agent reminded them and flagged the charts. Both signed the next day.
