What it does
Referrals arrive by fax, email and portal in different formats, often without the diagnosis, insurance or consent, so first visits are delayed. The agent reads each new referral, checks it against the clinic's list of what it needs, and drafts a request to the referrer for anything missing. It scores urgency using the clinic's own rules and finds the earliest suitable slot with the right clinician. When the referrer replies, it rechecks the file. A coordinator approves the booking and every outgoing request. Edge case: a referral for a child with urgent keywords but no guardian contact, where the agent holds the booking until a guardian number arrives.
